Special Events and Development Assistant

The Special Events and Development Assistant (3 Open Positions) supports the special events and donor relations staff and functions of Brevard Music Center’s Development Office to include, but not limited to,  the pre-event logistics and the day-of execution of approximately 80 donor stewardship, cultivation and fundraising events, the logistics for our VIP donor lounge, and other donor relations-related activities during the Music Center’s Summer Festival.


This is a full-time, seasonal position requiring evening and weekend hours from May 19 through August 8, 2024, reporting  to the Development Manager, and supporting the Manager, Grants and Donor Communications, Director of Annual Giving/Donor Advisor, Senior Advisor, Donor Engagement, and Senior Director of Development, as needed. 


Compensation includes:

  • Season stipend paid bi-weekly
  • Full board (once campus food service opens for staff and students)
  • On-campus housing (rooms are typically shared with another seasonal staff member)
  • Complimentary concert attendance with staff ID, based on ticket availability
  • ServSafe Food Handler Training & Certificate

Responsibilities include, but are not limited to:

  • Maintain detailed event files
  • Maintain event supply inventory
  • Produce and digitally distribute donor communications
  • Receive event RSVPs and maintain them in the appropriate database
  • Provide outstanding customer service at events 
  • Event setup (guest tables and chairs, food tables, beverage stations with ice, etc.); aesthetics of event space (room layout, decorations), and event guest registration (guest check-in and attendance)
  • Tableside hospitality service during events, as needed (serving beverages, offering hors d'oeuvres, clearing plates, etc) 
  • Proper breakdown and event clean-up
  • Serve as secondary staff contact for event vendors (i.e.caterers, rental companies, etc.)
  • Supervise student workers and volunteers, as needed, with support from staff
  • Other tasks and projects as assigned.

Maestro Society Donor Lounge


The Music Center’s Maestro Society lounge is a season benefit available to annual donors of $3,000 or more. The outdoor lounge is open before and during intermission of performances at BMC’s Whittington-Pfohl Auditorium. Guests can enjoy complimentary water, soda, beer and wine, and light snacks in a casual setting. 


Responsibilities include, but are not limited to:

  • Serve as lounge host to check guests in, track attendance, and ensure that only donors/patrons with lounge privileges have access
  • Work with staff to project, order, and pick up appropriate amount of refreshments
  • Partner with Development Manager to maintain accurate inventory of beverages and supplies
  • Work closely with Box Office staff to produce detailed, projected guest lists of attendees for performances each weekend

Qualifications:

  • Ability to work comfortably outdoors regularly during events
  • Willingness to partner with a variety of departments in a fast paced environment to execute successful events for Brevard Music Center donors, patrons, students and more
  • Excellent time management, organization, and prioritization skills
  • Excellent verbal, written, and interpersonal communication skills
  • Demonstrated initiative and attention to detail 
  • Ability to follow verbal & written directions on a variety of projects while prioritizing appropriately
  • Skilled in adapting to event changes & improvising creative solutions independently and within a team
  • Proven ability to work collegially with many intergenerational constituent groups: vendors, staff, volunteers, Board of Trustees, artist faculty, supporters, and event guests
  • Must be at least 21 years old and completed two (2) years of college 
  • Must have valid driver's license and possess a clean driving record
  • Must be able to lift 20 lbs. – 30 lbs. regularly
  • Demonstrated successful ability in the following programs: G-Suite, Microsoft Word & Excel
  • Previous experience in hospitality (foodservice, waitstaff) preferred
  • Knowledge of nonprofit organizations and interest in performing arts, a plus
  • Familiarity/demonstrated experience with relational database software (Tessitura) a plus
  • Appreciation for the mission of Brevard Music Center
