Purchasing Agent

Reports To: Director of Production, Assistant Production Managers

Supports: Orchestra Production Staff, Opera Production Staff

Summary

The Purchasing Agent is responsible for providing the essential support required to maintain an efficient theatrical producing company on both the Orchestral and Opera areas of the Brevard Music Center and Festival. This position works in conjunction with the Director of Production in managing the production budgets of BMC. 

Holistic effective communication and dissemination of information as well as a love of music and a sense of humor when appropriate is essential to the successful execution of this position.

Duties and Responsibilities

  • Intake, organize, log, and turn in all purchasing receipts to Brevard Music Center's Accounting Department in the format prescribed by the Director of Production. 
  • Work closely with the Director of Production to maintain all BMC budgets. 
  • Reconcile all Production Staff Purchasing Cards and Director of Production’s BMC Credit Card. 
  • Regularly check-in with all departments to anticipate spending needs and formulate a plan to meet those needs. 
  • Manage all Production Staff Purchase Orders. 
  • Collect and distribute all Production Staff mail and packages. 
  • Track and intake all Production Staff Purchases to ensure timely delivery and complete orders. 
  • Research the best (least expensive, best use of manpower) ways to purchase items, as assigned, and prepare reports to explain pros and cons of each scenario. 
  • Meet with the Director of Production on a regular basis to reconcile the budget and help plan strategies to complete the season within budget. The ultimate budget responsibility falls on the Director of Production, so understanding her sometimes hyper-concern about the budget is a must. 
  • Manage BMC track phones, hot spots, etc. 
  • Work through all rental contracts with Director of Production to ensure invoicing is timely and items are delivered/ picked up correctly. 
  • Intake, tally, and pay out mileage to Production Staff Members as assigned. 
  • Work on House Management as assigned and as possible given Purchasing Agent as your main position (usually two shifts per week).
  • Other duties, as assigned. 
  • Supervised by the Director of Production.

Qualifications

  • Strong written and verbal communication skills with HM staff, BMC staff, and patrons.
  • Highly motivated and passionate about ensuring a positive patron experience.
  • Good attitude and work ethic.
  • Willing to work physically.
  • Ability to lift up to 50lbs reliably and safely.
  • Willingness to take ownership of your position and not blame other staff members or outside circumstances for your degree of success on individual tasks and on your position as a whole.
  • Able to take instruction and feedback from supervisors and use it to improve your job performance.
  • Understanding of channels of communication and the importance of clear and open communication at all times.
  • Maintain calm under pressure and receive/ intake information from multiple sources that you quickly prioritize and relay to Orchestra Operations Manager/ act upon if deemed appropriate.
  • Above all, must possess a positive attitude, a sense of humor, and ability to work well in a team dynamic.

Requirements

  • Complete satisfactory background check
  • Must have valid state driver's license and possess a clean driving record

Compensation

  • Includes a season stipend paid bi-weekly, full board, and on-campus housing

Brevard Music Center is a summer institute and festival.
